Job Purpose
The Contract Administrator is responsible for supporting the complete contract lifecycle, including contract preparation, administration, compliance monitoring, documentation control, change management, vendor correspondence, and contract closeout activities. The role ensures that contractual obligations are properly documented, tracked, and administered to minimize commercial risks and support project delivery.
Key Responsibilities
Contract Administration

Administer contracts from award through completion and closeout.

Prepare contract documents, amendments, addendums, work orders, and contract extensions.

Ensure contractual records and correspondence are maintained accurately.

Monitor contract validity, key milestones, renewal dates, and compliance requirements.

Maintain an organized contract repository and document management system.
Contract Compliance & Governance
-
Track contractor and vendor compliance with contractual obligations.
-
Monitor submission of performance guarantees, insurance policies, warranties, and statutory documents.
-
Ensure adherence to company contracting policies and procedures.
-
Support periodic contract audits and compliance reviews.
Change Order & Variation Management
-
Review and process change orders, variations, and contract amendments.
-
Maintain records of approved and pending variations.
-
Coordinate with project teams to assess commercial impacts of scope changes.
-
Prepare documentation supporting management approvals.
Commercial Coordination
-
Support commercial evaluations and contract negotiations.
-
Coordinate with procurement, finance, legal, and project teams on contractual matters.
-
Assist in reviewing payment applications and contractual deliverables.
-
Track contract value utilization and budget alignment.
Claims & Documentation Support

Maintain documentation related to contractor claims, disputes, and extension of time requests.

Assist Contract Manager in claim analysis and preparation of responses.
-
Ensure all project correspondence is properly archived for future reference.
Reporting & Monitoring

Generate periodic reports on contract status, expiries, amendments, and compliance.
-
Track key contract KPIs and supplier performance metrics.
-
Provide management dashboards and contract performance summaries.

Educational Qualifications
Mandatory
-
Bachelor's Degree in Engineering, Commerce, Business Administration, Law, or related discipline.
Preferred
-
MBA (Supply Chain/Finance/Operations).
-
Certification in Contract Management, Procurement, Commercial Management, or FIDIC.
Experience Requirements
-
5-8 years of experience in Contract Administration, Procurement, Commercial Operations, or Project Contracts.
-
Experience working with EPC, Construction, Infrastructure, Industrial, Manufacturing, Data Centre, Warehousing, or Industrial Park projects.
-
Exposure to contract lifecycle management and document control systems.
Technical Skills
